Event Producer

EXPERIENCE HOUSE MASTERMIND

Experience House is hiring a part-time event producer to lead production of our quarterly in-person gatherings within the Experience House Mastermind. There’s room to take on more across our other programs over time.

Our members design experiences for a living, so they notice everything. We’re looking for the producer who makes our gatherings feel effortless, and every so often, unforgettable.

About Experience House

Experience House is a community of the world’s leading experience designers and community builders, shaping the future of how we gather and connect.


We launched in 2021 as one of the early pioneers of the month-long creative residency, bringing creators together for a month at a time in spectacular locations abroad. Today we run a range of programs and gatherings. Our most recent initiative is the Experience House Mastermind, a year-long business mastermind for the most established founders, creators, and community builders in our field.

The Role

Four times a year, Mastermind members step away from their own businesses, communities, and events to share time and space at our 3-night gatherings called “Assemblies”.


You’ll be the producer who makes that happen. Our core facilitation team sets the creative vision and designs the sessions. You own everything that brings it to life on the ground: the venue, the vendors, the chef, the photographer and filmmaker, the flow, and the hundred small details between an idea and a moment. You’ll think a few steps ahead, solve problems before anyone knows they existed, and keep the whole thing feeling effortless for the people in the room.


The best version of this role goes beyond execution. You’re an experience designer in your own right, and we want you to add a little magic of your own on top of what we’ve designed.


We’ll start with a trial Assembly in San Francisco in late October. If it’s a fit for both of us, you become our producer for every Assembly that follows.

What You’ll Own

Guest Communications

Write and send the attendee email sequence, run the WhatsApp group, and handle every pre-event beat (theme, dress code, timing, logistics), all woven into the run of show.

Venue Coordination

Be the single point of contact for the venue team: walkthroughs, space plans, furniture and seating layouts, load-in and load-out.

Food & Drink

Source the chef or caterer, shape the menu within budget, manage headcounts, and take care of session refreshments and group dinners.

Production

Turn our session and experience designs into reality: the run of show, décor and staging for openings, closings, and signature moments, and A/V, sound, and DJ riders.

Capture

Help hire and brief the photographer and filmmaker, and own the shot list and the backup plan.

Logistics

Transportation, arrivals and departures, printed materials, local runs, and team accommodations.

The Playbook

Build and refine our production playbook as you go (timelines, vendor lists, templates) so every Assembly makes the next one better.

On Site

For three days, you’re the calm center of the gathering. You make sure nobody sees the seams.

Our team will own creative direction, session design and facilitation, member curation, and vendor payments.

Craft

  • You’ve produced intimate, high-touch gatherings like retreats, salons, dinners, and off-sites, and you have the portfolio to show it.

  • You see around corners. You anticipate what attendees need before they ask, and what could go wrong before it does.

  • You’re honest about time. Your timelines are realistic, so they hold.

  • Vendors and venues love working with you. Your communication is fast, clear, and warm.

  • You’re reliable and detail-oriented. You don’t let anything slip through the cracks.

  • You’re excited about AI, and either already deep in it or eager to learn how to apply it to event production: vendor research, timelines, guest comms, run-of-show drafts, and whatever we haven’t thought of yet.

  • You’re hungry and ambitious, and you want to do more of this kind of work at the highest level.

  • High agency, high capacity. You don’t wait to be told what to do. Things move when you’re involved.

  • You’re wonderful with people. Attendees feel cared for around you, and you’re easy to work with under pressure.

The Details

Commitment

Part-time contract, about four Assemblies a year. The work concentrates in the 4–6 weeks before each gathering and the days on site.

Compensation

$2,000–$3,000 per Assembly, depending on experience. Travel and lodging are covered.

Location

Anywhere in North America. You need to be in San Francisco for the October Assembly and able to travel each quarter.
